This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you interact with us — whether through our website, email, phone, or in-person.

Collection of Personal Information
We collect personal information when you:

Third-party contractors may collect personal information on our behalf. We may also receive information from employers, colleagues, or publicly available sources such as social media and professional registers.
Types of Personal Information Collected
Depending on how you interact with us, we may collect:
- Contact details — name, employer, address, phone number, email address
- Project information related to service enquiries
- Website usage data — IP addresses, timestamps, browser type, pages visited
- Service provider details — work performed, payment information, insurance information
- Communications, preferences, and feedback you share with us

Anonymity: You may browse our website and use our AI chat assistant without telling us who you are, and we will not ask for your name or contact details in order to have that conversation. Please note, however, that we do keep a record of the conversation itself, including anything you choose to type into it — see AI Chat Conversations. Clients receiving services must provide accurate personal information — without it we may be unable to deliver services or respond to your enquiry effectively.
Website Information Collection
Our servers automatically capture:
- IP addresses
- Visit dates and times
- Pages and sections accessed
- User actions on the site
- Browser type and device information
Cookies: We use cookies — small text files stored on your device — to improve your experience. Your browser will typically accept cookies by default; you can configure it to reject them or prompt you before accepting, though some functionality may be limited as a result.
We are not responsible for the privacy practices of third-party websites linked from our site. We encourage you to review their privacy policies independently.
We use analytics tools (such as Google Analytics) to understand how our site is used and to improve our services. These tools may set their own cookies and collect device, interaction, and approximate location data. We also use AI-assisted tools for analytics, content personalisation, and customer support. We do not use automated decision-making that materially affects individuals without human review.
AI Chat Conversations
Our website offers an AI chat assistant that asks about your business and can prepare a one-page plan for you. This section explains exactly what happens to that conversation, because it works differently from the rest of our site.
We store the conversation, from the first message. Your messages and the assistant's replies are recorded on our servers as you send them — not only if you go on to give us your contact details, and not only if you finish. If you start a conversation and leave after one message, that message is stored.
The conversation may contain personal information you choose to put in it. The assistant does not ask for your name, email, or phone number during the conversation. But people often mention who they are, who they work for, or details about their business or customers while describing a problem. Anything you type is stored as part of the conversation, so please share only what you are comfortable with us keeping.
We link your conversations together. Your browser holds an identifier so that if you refresh the page or come back later, the assistant remembers your conversation rather than starting over. This means separate visits from the same browser are recorded as the same person.
We record technical signals about the visit — such as your browser's user-agent, the page that referred you, and the timing of your messages. We use these to tell genuine visitors apart from automated traffic and from our own testing, and to measure what the service costs us to run. We do not use them to build an advertising profile of you.
If you ask us to send you a plan, and give us your name, email and phone number, we additionally: generate a PDF plan and store it; email it to you; create a contact record for you in our customer relationship management system; and notify our team internally. At that point the conversation is associated with your contact details.
The conversation is sent to our AI provider (Anthropic) to generate each reply. It is not used to train their models.
Voice dictation is optional and uses your browser, not us. If your browser supports it, you can dictate a message instead of typing it by tapping the microphone. Your speech is captured and converted to text by your browser's own speech-recognition service — for most people that means the browser vendor (for example Google, in Chrome) — not by Step Up. We never receive or store the audio itself; we only receive the text it produces, which then becomes part of your conversation exactly as if you had typed it. You can edit that text before sending, and dictation is never sent automatically.

How We Use Your Personal Information
We use your personal information to:
- Provide information about our services and advise you of new offerings
- Deliver professional services to you or your organisation
- Improve the quality of our services
- Respond to your questions and enquiries
- Operate, improve, and secure our business operations
- Meet our legal and regulatory obligations
- Fulfil purposes we notify you of at the time of collection
Marketing: We may contact you about our services and related offerings. You can opt out at any time by contacting us directly or using the unsubscribe link in any marketing email.
Sharing Your Personal Information
We may disclose your personal information to:
- Subcontractors and service providers who assist in delivering our services
- IT and cloud service providers
- Professional advisors — legal counsel, accountants, auditors, insurers
- Parties involved in any merger, acquisition, or business sale
- Other parties authorised or required by law
The main service providers we rely on, and what they receive, are:
- Amazon Web Services — hosting and storage for our application and its data (Sydney region)
- Anthropic — the AI provider that generates chat replies and plan documents; receives the content of your conversation
- Folk — our customer relationship management system; receives your contact details and a summary of your enquiry if you ask us for a plan
- Slack — our internal team messaging; receives a notification of your enquiry if you ask us for a plan
- Clerk — sign-in and account management, if you create an account
- Amazon SES — sending email to you
Some recipients may operate outside Australia. Cloud-based systems we use may store data in international jurisdictions. We take reasonable steps to ensure overseas recipients handle your information in accordance with the Australian Privacy Principles.
Accessing, Correcting and Deleting Your Information
You may request access to, or correction of, your personal information at any time. We will respond within a reasonable timeframe. Access requests may incur a reasonable fee; corrections are provided free of charge. We may require you to verify your identity before processing a request.
You may also ask us to delete your information, including any AI chat conversations we hold for you. Contact our Privacy Officer at the address below from the email address you used, and we will remove your conversations, your contact record in our customer relationship management system, and any plan document we generated for you.
Two honest limits on deletion. First, if you have since signed up for an account with us and your conversation was carried into your workspace, that copy has become part of your account; you can ask us to remove it along with your account data by contacting our Privacy Officer, and we will tell you if this applies to you. Second, some records may need to be retained where the law requires it, for example financial records relating to services we have invoiced.

How Long We Keep Your Information
We do not keep personal information for longer than we need it.
- AI chat conversations where you never gave us your contact details: deleted automatically 90 days after your last message in that conversation. You do not need to ask.
- AI chat conversations where you asked us to send you a plan: kept as part of your enquiry record, for as long as we may reasonably need it to deal with you as a client or prospective client, unless you ask us to delete it sooner.
- Contact and enquiry records: kept for as long as we have a relationship with you, and afterwards where we are required to retain them or need them for a legal claim.
- Client and financial records: retained for the period required by Australian law.
When a retention period ends, the information is deleted from our systems.
How We Hold Your Information
Personal information is held primarily in electronic form, though some hard-copy records may exist. We implement appropriate security measures including access controls, firewalls, encryption, and physical security to protect your information from misuse, interference, loss, or unauthorised access.
